How a 24/7 AI Assistant Transformed a Johannesburg Training Centre
BMK was losing enrolments to competitors who responded faster. Here is what changed when they never went offline again.

Training enquiries do not happen between 9 and 5. Students browse course options in the evenings, on weekends, during lunch breaks. They have questions. If nobody answers those questions immediately, they move on to the next training provider.
This was the problem BMK Training Centre faced. SETA-accredited, excellent courses, experienced facilitators. But their enquiry response time averaged 6 to 14 hours depending on the day. By the time staff followed up, several leads had already enrolled elsewhere.
What We Built
We integrated a Claude-powered AI assistant directly into the BMK mobile app. Students open the app at 11pm on a Sunday, ask about an upcoming course, and get an intelligent, accurate response within seconds. No hold music. No callback forms. No waiting until Monday morning.
What the AI Can Do
- Answer detailed questions about any course in the catalogue including duration, cost, prerequisites and SETA accreditation status
- Check available dates and guide students through the booking process
- Collect student name, contact number and course interest for staff follow-up when complex questions arise
- Handle repeat enquiries about certificates, payment options and group bookings
- Operate in English and adapt tone based on how formal or casual the student is being
What Changed After 60 Days
Response time for standard enquiries dropped from an average of 8 hours to under 5 seconds. Staff reported spending significantly less time on repetitive phone calls and more time on complex enrolment queries that actually require a human. The AI was handling roughly 40% of all student enquiries end-to-end without any staff involvement.
Is This Right for Your Business?
An AI assistant makes the most sense when you receive high volumes of similar questions, when enquiries come in outside of business hours, and when speed of response directly affects whether you win or lose the customer. Service businesses, training providers, hospitality, retail and professional practices all fit this pattern.
The technology is mature, the cost is surprisingly accessible, and the impact is immediate. If your business goes quiet when you go home for the evening, this is worth a conversation.
